Automate your data

There are many tasks in your business that could be automated by adding data to a database and letting software do the hard work.  Many of my clients come to me with the issue that their staff spend a lot of time doing repetitive tasks such as keeping track of reminders or manipulating data to produce regular documents or reports.

By storing data centrally and adding appropriate software programming you can gain efficiencies in your business, freeing staff time for more key activities.  Below are a few examples of the type of things that you can do to achieve these efficiencies.

Create pre formatted PDFs

You can use data that you enter, or that is stored, to create documents.  These documents can be pre formatted and then populated with data from the database.  Documents can also be created dynamically directly from the database.  This can be useful for storing important documents after they have been generated and having copies if they are needed in the future.  The documents can also be sent directly to recipients once generated by the push of a button.

Use workflow

Workflow is used to send the right data to the right people at the right time.  The people who receive the data then process that data as required so that it can be passed onto the next person in the workflow chain.  Using decisions, emails and stored data can bring this automated feature to any application.

Send automatic emails

Sending automatic emails to support an action is just a very basic workflow.  This could be as simple as an email being sent after a form has been filled thanking the person.  You can also use a simple email to send out a PDF certificate that is auto generated, as discussed above.

Generate charts

You may need to view your data in chart format and charts can be dynamically created from the database.  These charts can be displayed on specific web pages and be updated every time new data is added.  You may be tracking a daily target for example.  All you would need to do is enter the new days data and the chart updating takes care of itself.

Generate reports

Reports are no more than words, charts and tables, just what we have discussed above.  The software can be programmed to produce reports taken from what ever data is available. So if you are collecting data from lots of disparate sources the system will take care of pulling everything together.  If you couple everything with a small piece of automation you can also be informed when all of the disparate data has been added to the system before you allow the report to be generated, hence, not missing any data.

Store everything in a data base for later recovery

You may generate information for clients and need to store this data.  The data may be important evidence or maybe something that needs to be duplicated should the end user loose their copy.  Either way all of the data you need or the documents you generate can be stored for later retrieval.  By adding an administrative system to the application, recovery of the data against a specific user becomes easy.

Tracking data, date stamping and reminders sent out

When you send a document or perform a service, say a training course, you can store the date in a database.  It maybe that at some point in time the training needs to be renewed, a simple reminder can be sent which informs you to contact the person, but also to send an automatic email to the person to let them know.  Again by adding an admin interface you could provide the ability to track the training of the whole team and whose training is needed when.
